Administrative and Commercial Assistant: Interview with Stéphanie Marcos

Stéphanie Marcos, Administrative and Commercial Assistant, joined the company in 2015 and sees her missions evolve on a regular basis. Main objective: to collaborate with the sales teams and liaise with customers on specific issues in order to provide them with as much follow-up and support as possible. She is therefore a real right-hand woman for the commercial division! To help us better understand her role within Net4All, Stéphanie took the time to respond to our questions.

To begin with, what is your position and what does it entail?

I trained as a commercial employee, but I started at Net4all as an Administrative Assistant and went on to become a Sales Assistant. My current job, as an Administrative and Sales Assistant, is to provide support to the sales representatives in their projects as well as in their daily tasks: managing customer invoicing, following up on unpaid invoices, recording projects signed by the sales team, responding to specific requests in my field and ultimately, being able to satisfy our customers’ requests.

This position is quite extensive, but in essence, it consists of managing the administrative aspects. I am also in charge of training an apprentice, and supporting employees for certain HR assignments in collaboration with the Group (editor’s note: this is OT Group, of which Net4All is the Swiss entity).

What is your background? How long have you been working as an Administrative and Commercial Assistant?

I completed an apprenticeship as a CFC commercial employee in an IT company and graduated in 2009. After that, I worked in different companies as a childcare shop, at an ice-cream laboratory, at a watchmaking company, but always in the same field: administration.

In 2013, I decided to start training to be an Executive Assistant, taking evening classes in order to improve my skills to be able to open more doors for myself. In 2015, I joined Net4All as an Administrative Assistant, with the main role of managing invoicing, following up on unpaid invoices and customer requests. My responsibilities quickly evolved towards Sales Assistant assignments and I was therefore able to work more and more as a team with the sales engineers for the follow-up of purchase orders, project launches, customer relations, etc.

In 2016, I was entrusted with the responsibility of supporting our HR department. In order to be able to improve myself, I then began taking management and human resources evening courses , graduating in 2017.

Finally, since 2017, I have also been the “Happiness Officer” for Net4All. It is a very nice job, especially since I am surrounded by people who all do their part.

To recap, I have been active in the work world and in my field for 12 years now.

What is your typical day like?

It varies greatly, our days are never the same. There are very busy periods and then there are quieter times; it goes in waves. But if I had to sum up, I would say that our typical day revolves around customer requests, invoice generation, payment follow-up, project launches with the sales staff, making the transition to the technical department ,and finally, training our apprentice.

Most of the time, we deal with invoicing problems as well as unpaid invoices: these are the main tasks in our division.

How much initiative and autonomy do you have in your job as an Administrative and Commercial Assistant?

I am fortunate to have a lot of autonomy in my job, particularly in terms of administration, so that I can make decisions on outstanding payments, for example.
I have the freedom to implement new processes to improve the department. This is the general state of mind at Net4All: our team is people-friendly; we work in an open space, and management expects us to always take initiative and to help the company evolve as a whole.

What do you like most about this job? Is there anything that bothers you?

The tasks are varied, I can take care of the commercial part as well as the accounting, the orders, customer management, so I like everything because there is a lot of versatility and the days are never the same. In my position, this is an undeniable asset!

I have some minor preferences for some tasks over others, but as a whole, nothing bothers me.

What is the expected profile for working as an Administrative and Commercial Assistant?

The most classic profile for people who are interested in a Sales Administration position is to do an apprenticeship as a commercial employee. In terms of qualities, you have to be motivated, curious and, of course, to have a taste for numbers.

The important thing is to love what you do and show that you can do it.

On a personal level, what do you enjoy doing?

Sharing good times with friends, travelling and cooking…
